Space Management

The office of Campus Planning, Design and Construction Management facilitates the allocation and evaluation of space throughout the University on an ongoing basis.  

 What We Do

  • Plan for the long-term space management and planning needs of the University.
  • Facilities Committee is responsible for the approvals of all proposed space moves.
  • Evaluate and respond to space requests. (form found by clicking space authorization link below)
  • Assess and respond to buildouts and renovations requests.  (Form found by clicking Campus Buildout_Renovation Form link below)
  • Faculty/Staff relocating due to buildouts or renovations will also need to complete the New Hire_Space Relocation Form.  (Form found by clicking the link below)
  • Identify options for space efficiency.
  • Initiate space planning investigations as part of project scope definition.
  • Integrate space planning with campus-wide planning initiatives.
  • Evaluate, manage and make recommendations regarding requests for new campus space, temporary use of space and/or space relocation.
  • Assist with move planning.
  • Track, evaluate and report changes in space assignments on campus.
  • Analyze space/population projections to ensure the best uses and locations for existing and proposed space.

 Procedures: 

New Hires:

When faculty/staff are hired, the manager will fill out the Space Request Form, sign, scan and send it via e-mail to Marlene Levine in Campus Planning.  Next, the Facilities Committee will review for approval.  Upon approval, the Executive Director of Facilities Management and Campus Planning will sign off on the move request and Campus Planning will send a confirmation of the approval to the requestor.  Facilities Committee meets once a month, so please plan accordingly.

New Equipment for New Hires:

If new hires require new equipment such as a computer and a phone, contact IT directly to coordinate by submitting your approved move request to helpdesk@ben.edu

Relocations:

For faculty/staff relocations, the manager must fill out a Space Request Form, sign, scan and send via email to Marlene Levine in Campus Planning.  Next the Facilities Committee will review for approval.  Upon approval, the Executive Director of Facilities Management and Campus Planning will sign off on the move request and Campus Planning will send a confirmation of the approval to the requestor.

Move Equipment or Personal Belongings for Relocations:

Coordinate relocations of desk phone, extension and computer by submitting your approved move request to IT at helpdesk@ben.edu.

For personal belongings and files that require move crates, please contact Bob Barr in Office Services.  Return date of the crates will be one week from your move-in date, unless otherwise advised.  For crate pick up please email Bob Barr.

Key Requests for New Hires and Relocation:

It is important to submit properly authorized key request forms to Facilities Management located in the Parking Garage at least 3 business days prior to the new employee starting or the relocation date, to ensure keys are ready for the employee on the date needed.  To obtain key request forms, please Facililties Management in the Parking Garage.

 

NOTE:

In order to maintain accurate records of occupied space on campus, it is necessary for everyone to fill out a space authorization form.  This is not just for new employees.  When current employees relocate, managers must also fill out the form so that the space assignments are captured in our database with the correct information.
