Web Site Policies, Standards and Instructions
Benedictine University promotes and supports the use of the Web
and Web applications to inform the global community about the
services and operation of Benedictine University and to provide
support to University personnel in the administration of programs.
Benedictine places conditions and guidelines on the use of the
Web, Web resources and Web applications on computer systems and
facilities that are the property of Benedictine University.
The purpose of these guidelines is to provide specific information
to campus users of these Web resources and to foster good stewardship
of institutional assets and compliance with regulatory guidelines,
while promoting consistency, quality and a cohesive, unifying
image for the University.
The University upholds an individual's constitutional right to
freedom of speech and the faculty's right to academic freedom.
Benedictine also recognizes that material created by its departments,
schools and other official sources represent the University to
external as well as internal audiences.
Www.ben.edu is the official Internet site ("home page")
for the University. The home page's primary objective is to provide
an attractive, distinctive, clear and easily navigable point-of-entry
to the wealth of information on Benedictine's Web servers and
to set a tone and style for other University pages.
Responsibilities of publishers
Publishers of pages on Benedictine's Web servers are responsible
for:
· ensuring the accuracy and timeliness of the information
presented;
· offering readers pages that represent professional design
and quality presentation;
· abiding by Benedictine's Web publishing and identity
standards;
· regularly updating and keeping published information
current;
· understanding and complying with copyright, privacy,
intellectual property and libel laws; and
· responding in a timely fashion to inquiries and comments
directed at one's published material.
Although significant efforts are made to ensure the reliability
of the information presented, the University cannot guarantee
the complete accuracy and dependability of all the information
stored on or retrieved from its Web servers.
Web pages that give access to or collect any personal, confidential
or sensitive data must contain protection from unauthorized access,
incorporating security measures into their design.
Pages hosted on Benedictine's Web servers should be "generally
accessible" and should load quickly, feature "alt tags,"
text-based representations and other features to make the content
available to the visually impaired according to Federal 508 (http://ftp.fcc.gov/cgb/dro/ab508.html)
and W3C (http://www.w3.org)
standards.
Publishers linked to the University's home pages represent the
institution and are responsible for the pages they publish, as
well as the links they offer to other resources. Page publishers
should not be directing their visitors to non-operative sites,
out-of-date sites or to sites containing irrelevant or inappropriate
content. Content providers and page publishers are expected to
abide by the highest standards of quality and responsibility.
These guidelines rely on personal responsibility and professionalism
on the part of Web publishers. For these guidelines to function
as intended and to advance the aims of Benedictine University,
each publisher must take personal and collective responsibility
for what is produced.
Pages are evaluated for compliance at the time they are initially
linked, and are subject to random review thereafter by the Web
Committee. Log file analysis plays a large role in the review
process; Benedictine's pages with high traffic volume are a priority.
Missing or improperly executed elements will result in a contact
from a representative of the Web Committee. If corrective measures
are not taken within an agreed upon time, the institutional link
will be severed and Web server privileges may be terminated.
The Web offers publishers a tremendous amount of freedom and power,
but these come at a price: a responsibility to exercise good judgment.
The penalties for not exercising good judgment and abiding by
these guidelines can include the suspension or withdrawal of Benedictine's
Web server use privileges. Violations of state and federal laws
can lead to suspension, dismissal and/or criminal and civil prosecution.

Web Support
Benedictine offers and will continue to offer training and resources
supporting the use of the Web, Web applications and Web development
to University employees and students. Publishers are strongly
encouraged to take Dreamweaver classes. Courses, including training
on the templates and FTP, are held periodically by Eileen Clark
and by individual appointment.

REQUESTING PAGES
You must fill out and submit the Web
Page Request Form in order to be given permission to access
files on the site. This includes all pages within the site structure,
sitelets and database tools. Please ensure that all fields are
completed in order to avoid delays. In order to be added to the
search function, you must specify what you want the page description
and keywords to be when you request a page.
CREATING NEW PAGES
New pages within the site structure
The Webmaster will reply via e-mail with your page URL, page
ID number and password for FTP access and/or the tools. Once you
have been assigned a page and password, go to https://www.ben.edu/tools
and log in to the Web site tools.
If you have requested a page within the main Benedictine University
site structure, go to the templates page (https://www.ben.edu/tools/templates)
and download the standard page template (first link on the page).
Save this .zip file to your computer and double click on the .zip
file to unzip. Open the unzipped standard_template.asp file in
Notepad or Dreamweaver.
This is what you will see:

On the fifth line, replace the number 1 with your assigned page
ID number. Then replace the 10th line ("Replace this text
")
with the text that you want in your Web page. This template is
used for plain text or simple html code. These pages must have
the extension .asp. Once completed, you will then upload the page
and any linked file(s), images and /or subfolders into your assigned
directory on the Web server (see FTP Instructions).
Templates are also located on the S: drive at S:/AllInfo/Web
site Standards and Policies/Templates. You will need the /images
and /sys folders with each template.
New pages using a sitelet (which will open in a new window)
New sitelets using a Tribesoft template
If you have requested a sitelet, the Webmaster will reply via
e-mail with your page URL and password for FTP access. You may
create your own Web page in Dreamweaver or you may download a
template that can be opened in Dreamweaver. These templates are
found at https://www.ben.edu/tools/templates/.
There are four templates and three page layouts for each of the
four templates. Download the .zip file containing the html file,
/images and /sys folders. New pages must have the either an .htm
or .asp extension. Once completed, you will then upload the page
and any linked file(s), images and /or subfolders into your assigned
directory on the Web server (see FTP Instructions).
*Note: You must upload the /images and /sys folders included
with the templates.
New sitelets created in Dreamweaver
Create your page in Dreamweaver and you will then upload the page
and any linked file(s), images and /or subfolders into your assigned
directory on the Web server (see FTP Instructions). New pages
must have the either an .htm or Asp extension.
What is required on all sitelet pages (The footer template can
be found on the I: drive at I:/Web site Standards and Policies/Templates/sitelet_footer.htm.
You will also need the BUHOR.jpg logo file found in the same directory.)

EDITING EXISTING PAGES
Download the page you want to edit from the Web server onto your
computer or H: drive and edit them in Dreamweaver as you normally
do. Once you have made your edits, save your document and open
your FTP program. Locate the file and upload the page(s) and any
linked or embedded files to your directory on the Web server along
with all images, linked files and /or subfolders.
TOOLS
The Webmaster will reply via e-mail with your password when you
have been given access. Login to https://www.ben.edu/tools
and you will see the tools to which you have been assigned access.
IMPORTANT THINGS TO REMEMBER
· Keep a disk or local back-up of current pages and back-up
and save every time they are modified.
· Please ensure that your pages and/or sitelet complies
with the guidelines outlined in this document.
· All file names must be lowercase without spaces. Underscores
( _ ) may be used.
· All pages must have the extension .htm or .asp
· You have the option of keep an images folder within your
directory and linking images appropriately (directory/images/filename.jpg)
or you may keep your images in your main directory.
· Use relative links rather than absolute links.

boxes, forms or to edit images on the header of template 2, please
e-mail the Webmaster at webmaster@ben.edu
for assistance.
Every sitelet has a page within the site structure with which
it is associated.
FACULTY/STAFF DIRECTORY
Requests for changes to the Faculty/Staff Directory should be
directed to directed to Susan Strougal in Employee Services at
extension 6018 or sstrougal@ben.edu.
Changes to faculty home pages should be directed to Michelle Mosier
at extension 6232 or mmosier@ben.edu.
STUDENT GROUP SITELETS
Student groups must conform to the standards established in this
policy.
Any student group that wishes to create and post a sitelet on
the Web server must request approval from Dean of Students, Marco
Masini. Students must then fill out a Web
page request. To avoid delays, please fill out the form completely.
Once the request is submitted and approved, the student or student
group will receive access to a folder on the Web server in which
to post the sitelet and any templates required. Once the site
is posted, the student responsible for the sitelet should notify
the Dean of Students at mmassini@ben.edu
and the Webmaster at webmaster@ben.edu.
Once the sitelet is approved, it will be linked from the main
Benedictine Web site.
The editor will be responsible for informing the Dean of Students
and Webmaster each time the site is updated. Missing or improperly
executed elements will result in a contact from a representative
of the Web Committee. If corrective measures are not taken within
an agreed upon time, the link will be severed and Web server privileges
may be terminated.
