Student Activities
Space, Supplies and Equipment

All recognized student clubs and organizations have the opportunity to reserve space and request equipment and supplies through the Programming Proposal Form and Funding Review Board Meeting. Prior to submitting the form, please note the following:

1. Location
There are several locations on campus that student organizations can request to hold events and activities. Before choosing a location, check its availability on Resource 25 at www.ben.edu/spaceres.
Classroom space can also be reserved through the Registrar. Please list the space you need and the Student Activities Office will check availability for that space.
Recurring organization meetings can also be scheduled through the Student Activities Office in Krasa 111.
To ensure a space, please put your top three locations on the Programming Proposal Form. Space will be limited to one organization at a time.

2. Time
All events must end no later than 1:00 a.m. on the following day.

3. Tables
Student tables and chairs for displays, event promotion, and fundraisers can be reserved through the Programming Proposal Form.

4. Food
When requesting food for an event or activity, you must first meet with Sodexho to determine what you would like to order, the number of people that are expected, and the estimated cost.

5. Audio Visual Equipment
Items such as CD players, TV/VCR, DVD players, and Computer on Wheels can be reserved for approved activities and events on campus. When filling out a Programming Proposal Form, indicate the type of equipment that you will require. Please note that any bands that are invited on campus are required to supply their own equipment. The University will not provide any equipment to bands.

6. Publicity/Supplies
All registered clubs and organizations have access to the Student Activities Center between the hours of 9:00 a.m.- 5:00 p.m., Monday through Friday. Art supplies such as paint, paper, markers, glue and other craft items will be available for clubs and organizations to create publicity or decorate for events. In the case that additional items are needed, a verbal request may be made to the Student Activities Coordinator. Approval of additional items will be to the discretion of the Student Activities Coordinator. Supplies not approved may be purchased by the club/organization through their account if funds exist. The Student Activities Coordinator will limit publicity that requires print room copies.
